Send personalised wedding invitations on WhatsApp, with each guest's name on the card
Upload your guest list and your wedding card (PDF or image), place a name box on the card, and Rapid Sender prints each guest's name on their own copy and sends it from your WhatsApp, one by one. It is free, works in your browser, and you do not need to save a single number.
Updated · Free · No install · Works with your own WhatsAppOne card, hundreds of guests, every card with a name
Most Indian families have one beautiful card from the designer and a guest list of 300 to 2,000 people. Sending that card to each person by hand takes days. Forwarding it to a broadcast list feels cold, and many relatives never get it because broadcasts only reach people who saved your number.
A card that says 'Shri Ravi Patel and family' at the top feels like a real kankotri handed over at the door. Rapid Sender gives you that personal touch at the scale of a big wedding. You keep your designer's card exactly as it is. The tool only adds the guest's name (or any other detail you choose) in the spot you pick, in the font you pick.
Then it sends each guest their own copy with a warm message that also greets them by name. The whole thing runs from your own WhatsApp number, so guests see the invite coming from you or your family, not from an unknown company.
What you need before you start
Your wedding card as a PDF, JPG or PNG. A multi-page PDF from your designer works fine, including separate pages for mehendi, haldi, sangeet and the reception.
A guest list in Excel (.xlsx or .xls) or CSV. The first row holds column names, such as name, phone and side (bride or groom). You can also download our sample sheet and fill it in.
Phone numbers with or without +91. Numbers without a country code get the one you choose (India +91 by default), and you can add a country_code column for relatives abroad.
Your phone with WhatsApp, to link it once by scanning a QR code, just like WhatsApp Web.
A laptop or PC is easiest for placing names on the card, but a phone browser works too.
Try it with your own list
Upload an Excel or CSV file, write your message and see exactly how it looks before anything is sent.
How to send personalised wedding invitations on WhatsApp
- 1
Link your WhatsApp
Open Rapid Sender and scan the QR code from your phone (WhatsApp, then Linked devices, then Link a device). If you opened the site on the same phone, use the phone-number pairing code instead. Your number now appears under Linked devices.
- 2
Upload your guest list
Upload the Excel or CSV sheet, or type a few contacts by hand. Rapid Sender reads the column names from the first row, so you can use {{name}}, {{side}} or any other column later. You can send to up to 5,000 guests in one go.
- 3
Attach your wedding card
Attach the card PDF or image (up to 100 MB). For most cards a file of a few MB is plenty and sends faster.
- 4
Place the guest's name on the card
Drag a text box onto the card where the name should go, for example the blank line under 'Sadar Amantran'. Pick the column (name), then the font, size, colour, bold or italic and alignment. Choose a Gujarati or Devanagari font if your list is written in that script.
- 5
Write the message that goes with it
Type a short note and add the guest's name with the + Name button, for example 'Jai Shri Krishna {{name}}, we warmly invite you and your family'. With a PDF, this message goes as the caption, and WhatsApp shows a preview of the first page.
- 6
Check the preview, then send
Use the live preview to see exactly what Priya Mehta or Ravi Shah will receive. Then press send. Messages go out one by one with a random pause of 7 to 10 seconds between them, and the live report shows who has received it.
Names in Gujarati, Hindi, Marathi or English
A Gujarati kankotri looks wrong with an English name pasted on top. Rapid Sender includes Indian-language fonts, so the name can match the rest of the card: Gujarati, Hindi and Marathi (Devanagari), Bengali, Tamil, Telugu, Kannada, Malayalam, Punjabi and Odia, plus English fonts for modern cards and Arabic or Urdu fonts where needed.
The font only draws the text, it does not translate it. So write the names in your sheet in the script you want on the card. A simple trick: keep two columns, name_en for the WhatsApp message and name_gu for the card. Then print {{name_gu}} on the card and greet guests with {{name_en}} in the message, or the other way round.
You can add more than one text box. Many families print the guest's name on the cover page and a second line such as 'Sah Parivar' or the table number on the inside page. Each box can use a different column and a different style.
Skip pages for some guests (sangeet only for close family)
Most wedding cards have one page per function, but not every guest is invited to everything. Rapid Sender can skip a page of the PDF for contacts whose value for a text box is empty.
Here is how it works in practice. Add a column called sangeet to your sheet and fill in the guest's name only for close family and friends; leave it empty for everyone else. Place a name box on the sangeet page that uses that column and tick 'Skippable'. Guests with an empty sangeet cell get the card without that page, and the preview tells you how many pages each guest will get. Everyone else gets the full card, with their name printed on the sangeet page too. The same idea works for a separate reception page for office colleagues.
How long it takes for 300, 500 or 1,000 guests
Rapid Sender sends from your own WhatsApp at a human pace on purpose. With the default pause, a text message takes about 10 seconds per guest. A personalised card is a little slower, because each guest's copy has to be prepared and uploaded.
As a rough guide, 100 cards take around 25 to 35 minutes, so 500 guests take roughly 2 to 3 hours and 1,000 guests an evening. The confirm screen shows the estimated time for your exact list before you start. While it runs, keep the browser tab open, the laptop awake and your phone connected to the internet until the report says it is done.
If you have a very long list, split it. Send to family on the first evening, friends the next day, and office and business contacts after that. It feels more natural to your guests and it lowers the risk of your number being limited.
Elders without WhatsApp, wrong numbers and the live report
Every big guest list has a few surprises: a dadi who only uses a basic phone, an old number that has changed, a mama who uses his son's WhatsApp. Rapid Sender checks each number before sending, so you can deal with these instead of guessing.
Set one alternate number, such as your own second phone or a cousin who is helping with the wedding. If a guest's number is not on WhatsApp, their card (with their name already printed) goes to that number, so someone can forward it or deliver it by hand.
For an elder who uses a son's or daughter's WhatsApp, simply put that family member's number in the phone column and keep the elder's name in the name column.
The live report shows each guest as sent, sent to alternate, failed (with the reason, such as not on WhatsApp), waiting or not sent.
Forgot some cousins? Add contacts while sending, and they join the queue.
Spotted a typo in the date? Edit the message for guests still waiting, or stop at any time.
Send again only to the people left, without repeating anyone who already got the card.
Download the report as Excel and call the few guests who could not be reached.
Everything is saved in your browser, so a refresh or a closed tab does not lose your list, card or report.
Kankotri wording and etiquette tips
Start with family. Send to close relatives first, so the elders hear it from you and not from someone else's forward.
Greet each guest by name in the message, not just on the card. A line like 'Ravi bhai, with blessings of our elders, we invite you' reads like a personal call.
Keep the message short. Mention the couple's names, the main date and the venue city. The card carries the full details.
Use bold for the date and venue (the toolbar adds WhatsApp bold, italic and strike-through for you), and preview it before sending.
Write in the language your guests use. A Gujarati or Hindi message to elders, and English for college friends, is easy with two separate sends.
Only invite people who would expect to hear from you. A wedding list is personal; do not add bought or scraped numbers.
Send a reminder a few days before the event using the same sheet, with a short text and no card, to the people who matter most.
Why this is different from other invitation tools
Wedding invitation tools usually do half the job. Some make a named PDF for each guest, but you still have to send hundreds of files yourself, and the free version often adds a watermark. Others send the invite for you but charge per guest, often one or two rupees each, which adds up for a 1,500-guest wedding. Some use the official business system, which needs approved templates and sends from a business number your relatives do not know.
Rapid Sender does both steps in one place. It prints each guest's name on your own card and sends it from your own WhatsApp, with no watermark, no credits and no per-guest charge. There is nothing to install and no account to create.
Be honest with yourself about one thing: Rapid Sender is an independent tool that works with your WhatsApp, not a service run by WhatsApp. Sending hundreds of messages always carries some risk of your number being limited. The safety pause, sending in batches, and messaging only people who know you keep that risk low, but nobody can remove it completely.
Frequently asked questions
Can I write the guest's name in Gujarati or Hindi on the card?
Yes. Choose a Gujarati or Devanagari font for the name box, and type the names in that script in your Excel sheet. The font displays the text you give it; it does not translate English names into Gujarati or Hindi.
Will it work with the PDF my designer made?
Yes. Any normal PDF or JPG/PNG card works, including multi-page cards. Leave a blank space on the card for the name, or ask your designer for a version with that space, and drag the name box there.
How long does it take to send to 500 guests?
With the default safety pause, personalised cards go out at roughly 100 every 25 to 35 minutes, so 500 guests take about 2 to 3 hours. You can lower the pause, but a slower pace is safer for your number.
Do guests need to save my number to get the invitation?
No. Unlike a broadcast list, the invite reaches guests whether or not they saved your number, because each one gets a normal personal message. You do not need to save their numbers either.
Can I send a video invite instead of a card?
Yes, you can attach a video invite (up to 100 MB) with a personal message that uses each guest's name. Printing the name on the picture itself works only on a PDF or photo, not inside a video.
Is it really free? Are there per-guest charges?
It is free. There are no credits, no per-guest fees and no watermark on your card. You only need your own WhatsApp number and an internet connection.
Is Rapid Sender made by WhatsApp?
No. Rapid Sender is an independent tool that works with your own WhatsApp account, like WhatsApp Web does. It is not affiliated with WhatsApp or Meta and is not the official WhatsApp Business API.
