How to send bulk WhatsApp messages for free (2026 guide)

There are four ways to send bulk WhatsApp messages: a broadcast list (free, up to 256 people, but only those who saved your number receive it), a group (free, but everyone sees everyone), the official WhatsApp Business API (paid, for large companies) and a browser-based bulk sender such as Rapid Sender (free, personal message to each person from your own number, no need to save numbers). This guide compares all four honestly and then walks you through the free method step by step.

Method 1: WhatsApp broadcast lists

A broadcast list is built into WhatsApp. You pick contacts, type one message, and each person receives it as a private chat from you. Replies come back to you only. It is free and needs no other tool, which makes it the first thing most people try.

The catch is in the details. A list can hold at most 256 contacts, and a broadcast is delivered only to people who have saved your number in their phone. Anyone who has not saved you simply never gets it, and WhatsApp does not tell you. The message is also identical for everyone, so you cannot greet each person by name. WhatsApp has also been reported to be testing monthly caps on broadcasts for some accounts; our broadcast limit guide explains what is known.

  • Good for: a small, loyal list of people who all saved your number

  • Not good for: new customers, guests or parents who never saved you, or anything personal

Method 2: WhatsApp groups

A group reaches everyone instantly and anyone can join with a link, so it works for a society, a cricket team or a family. But a group is a shared room. Every member sees every other member's number, replies flood the chat, and many people mute busy groups and never read the important message.

Groups are also a poor fit for anything private, such as a fee balance, an invoice amount or a wedding invitation that should feel personal. Adding people who never asked to be in a group also annoys them, and they may report it.

  • Good for: ongoing discussion among people who all know each other

  • Not good for: one-to-one messages, privacy, or personalised details

Try it with your own list

Upload an Excel or CSV file, write your message and see exactly how it looks before anything is sent.

Method 3: The official WhatsApp Business API

Meta's WhatsApp Business Platform, often called the Business API or Cloud API, is built for companies sending large volumes. You sign up through Meta or a provider such as an Indian BSP, verify your business, get message templates approved in advance, and pay for the messages you send.

It is the right choice for banks, e-commerce brands and anyone sending thousands of messages a day with chatbots and automation. For a family wedding, a tuition class or a shop with a few hundred customers, the setup, approval wait and per-message cost are usually more than you need.

  • Good for: high daily volume, automation, verified business profile, large teams

  • Not good for: quick, free, occasional sends from your own number

Method 4: A free browser-based bulk sender

A bulk sender for WhatsApp like Rapid Sender links to your own number through WhatsApp's Linked devices, the same way WhatsApp Web does. You upload a contact list, write one message with codes like {{name}} that are filled in from your sheet, and the tool sends a separate chat to each person, one after another, with a pause in between.

Because each message is a normal one-to-one chat, it reaches people who have not saved your number, it can be different for every person, and it can carry a photo, video, voice note or PDF. Rapid Sender is free, runs in the browser and handles up to 5,000 contacts per send. The trade-off is honest risk: it uses your normal number, so if you message lots of strangers who report you, WhatsApp may limit that number. Used with people who know you, it is the most practical free method.

Which method should you use?

  • Under 256 people who all saved your number, same text for everyone: a broadcast list is enough

  • A community that wants to chat together: a group

  • Hundreds of guests, parents or customers who may not have saved your number, or you want each person's name in the message or on a PDF: a browser bulk sender like Rapid Sender

  • Tens of thousands of messages a day, chatbots or automated replies: the paid official Business API

  • Messages to an Excel or CSV list with different amounts or dates per person: a bulk sender that reads columns

Step by step: send bulk WhatsApp messages with Rapid Sender

Here is the full flow on a computer. It takes about five minutes to set up, and then the sending runs on its own while you watch.

  1. 1

    Prepare your contact list

Make an Excel or CSV file with column names in the first row, such as name, phone and city, and one person per row. You can also download the sample sheet from Rapid Sender or add a few contacts by hand.

  2. 2

Open Rapid Sender and link WhatsApp

Go to rapid-sender.com in your browser. On your phone, open WhatsApp, tap Linked devices, then Link a device, and scan the QR code. If you are on the same phone, use the pairing code option instead.

  3. 3

    Upload your contacts

In the Contacts step, upload the file and choose the country code for numbers that do not have one (India +91 is the default). You do not need to save any number in your phone.

  4. 4

    Write and personalise the message

Type the message and click + Name to insert {{name}}, or the button for any other column. Format words in bold or italic with the toolbar, and check the live preview for a real contact from your list.

  5. 5

Attach a file if you want

In the Photo or file step, add one photo, video, voice note, PDF or Office file up to 100 MB. Optionally print each person's name on a PDF or image.

  6. 6

    Check the sending options

Keep the default random pause of 7 to 10 seconds between messages, or make it longer for a newer number. Add a backup number if you want it to receive messages for contacts who are not on WhatsApp.

  7. 7

    Send and download the report

Start sending and keep the page open. The live report shows sent, failed (with the reason), waiting and not sent. When it is done, download the report as Excel or send again only to the people who were left.

Limits and timing to plan around

  • Rapid Sender: up to 5,000 contacts per send and messages up to 10,000 characters

  • One attachment per send, up to 100 MB

  • About 10 seconds per text message with the default pause, so 100 people take roughly 16 minutes; PDFs take a bit longer

  • Broadcast lists: 256 contacts per list, and only people who saved your number receive it

  • For safety, send in batches of 100 to 200, and start slowly on a new number

Safety tips before you press send

Whichever method you choose, the biggest factor is who you message. Send to people who know you and expect to hear from you, put their name in the message, and avoid sending the same bare link to hundreds of people. If many people tap Block or Report, WhatsApp may restrict your number, and no tool can promise that will not happen. Our guide on lowering the risk of a ban covers delays, daily numbers and warming up a new number in detail.

Frequently asked questions

Can I send bulk messages from the WhatsApp Business app?

The WhatsApp Business app has broadcast lists, with the same 256-contact limit and the rule that only people who saved your number receive them. To send personal messages to a larger list, you can link the Business app number to a bulk sender such as Rapid Sender, or move to the paid Business API for very high volume.

What is the limit for bulk WhatsApp messages?

A broadcast list holds 256 contacts. Rapid Sender allows up to 5,000 contacts per send. Beyond these tool limits, WhatsApp watches how people react to your messages, so the practical safe amount depends on your number's age and whether recipients know you.

Is it free to send bulk WhatsApp messages?

Broadcast lists, groups and Rapid Sender are free. The official WhatsApp Business API is paid and charges for messages through Meta or a provider. With Rapid Sender you use your own number and do not pay per message.

Can I send bulk messages without saving numbers?

Not with a broadcast list, which only reaches people who saved your number. With Rapid Sender you upload the numbers from a sheet and each person gets a normal chat, so nothing needs to be saved in your phone.

Can I send bulk WhatsApp messages from Excel?

Yes. Upload an .xlsx, .xls or .csv file to Rapid Sender, and every column becomes a code you can put in the message, such as {{name}}, {{amount}} or {{date}}. No formulas, macros or VBA are needed.

Is Rapid Sender the official WhatsApp Business API?

No. Rapid Sender is an independent tool that works with your own WhatsApp number through Linked devices. It is not made or endorsed by WhatsApp or Meta and it is not the official Business API.
