WhatsApp broadcast limits explained: 256 contacts, monthly caps and alternatives

A WhatsApp broadcast list can hold up to 256 contacts, and a broadcast reaches only the people who have saved your number in their phone; everyone else silently never gets it. On top of that, WhatsApp has been reported to be testing a monthly cap on broadcasts for some WhatsApp Business accounts, with a figure of around 35 mentioned in tests. Here is what each limit means, why your broadcast may not be delivered, and what to use when you need to reach more people.

What a WhatsApp broadcast list is

A broadcast list is a saved list of contacts that you can send one message to at once. Each person receives it as a normal private chat from you, not as a group message, and if they reply, only you see it. Recipients do not see who else is on the list. You can create one in WhatsApp or the WhatsApp Business app from the menu by choosing New broadcast or Broadcast lists, depending on your app version.

It is a handy feature for quick updates to a small circle, such as regular customers of a kirana store or members of a society committee, as long as you know its limits.

Limit 1: 256 contacts per broadcast list

Each broadcast list can hold at most 256 contacts. If you have 700 people to reach, you need three separate lists and three separate sends. Many people try to get around it by making lots of lists, which works on paper but quickly becomes a chore to keep up to date, and the next limit still applies to every one of them.

Try it with your own list

Upload an Excel or CSV file, write your message and see exactly how it looks before anything is sent.

Limit 2: Only people who saved your number receive it

This is the limit that surprises most people. A broadcast is delivered only to contacts who have your number saved in their own phone's address book. If a customer, guest or parent has not saved you, the message is not delivered to them at all. You will see a single tick or no delivery for them, and WhatsApp does not show an error explaining why.

WhatsApp designed it this way to stop broadcasts being used to message strangers. But in real life it means a wedding broadcast may reach only half the guests, or a shop's offer may reach only the loyal customers who happened to save the number. If your broadcast is "not delivered" to many people, this is almost always the reason.

  • Ask people to save your number before you broadcast, for example in a welcome message or on your bill

  • Check delivery ticks in the broadcast's message info to see who did not receive it

  • For people who have not saved you, a normal one-to-one chat is the only way they will see your message

Limit 3: The new monthly broadcast caps (what is reported)

Recently, WhatsApp news sites such as WABetaInfo, and blogs that follow WhatsApp tools, reported that WhatsApp is testing a monthly allowance on broadcast messages for some WhatsApp Business app users. In the tests that were reported, a figure of around 35 per month was mentioned, with options to pay for more being tested too.

Please read this carefully: these are reported tests, not a published rule. The details reportedly vary by region and account, they may change before any wider rollout, and at the time of this update Meta had not described a fixed number in its official help pages. If your app shows a broadcast counter or a message about broadcast credits, that on-screen information is what applies to your account. We will update this page as things become clearer.

How to get more out of a broadcast list

If a broadcast list is enough for you, a few habits make it work much better. The key is getting people to save your number, since that decides who receives anything at all.

  • Print your WhatsApp number on bills, visiting cards and the shop counter with a line like "Save this number to get our offers"

  • When a new customer or parent first messages you, reply with a short welcome that asks them to save your number

  • Split people into lists that make sense, such as by area, class or product interest, so each broadcast is relevant to everyone on it

  • Name your lists clearly, for example "Surat customers" or "Class 8 parents", so you do not send to the wrong one

  • After a broadcast, open message info to see who received and read it, and follow up personally with anyone important who did not

  • Keep broadcasts occasional and useful; frequent promotions make people block you, and a block also stops future broadcasts

When a bulk sender is the better option

If the people you need to reach have not saved your number, you need more than 256 recipients, or you want each person's message to be different, a broadcast list is the wrong tool. A bulk sender for WhatsApp, such as Rapid Sender, sends a separate one-to-one chat to every person on your list from your own number. Because it is a normal chat rather than a broadcast, it reaches people who never saved you.

It can also do things a broadcast cannot: greet each person by name with {{name}}, fill in their amount or date from an Excel sheet, attach a photo, video or PDF, print each person's name on a PDF or image, and give you a report showing who was sent the message and whose number is not on WhatsApp. Rapid Sender is free and handles up to 5,000 contacts per send.

The honest trade-off: one-to-one messages to people who did not save your number carry more risk of being reported than a broadcast to saved contacts. Send only to people who know you and expect your message, and keep the safety pause on.

Reach people who did not save your number

  1. 1

Export the list you would have broadcast to

Put the names and numbers in an Excel or CSV file with column names in the first row, such as name and phone. The numbers do not need to be saved in your phone.

  2. 2

Open Rapid Sender and link WhatsApp

In your browser, open rapid-sender.com and scan the QR code from WhatsApp, under Linked devices, then Link a device.

  3. 3

    Upload the contacts

Upload the file in the Contacts step and choose the country code for numbers without one. India +91 is the default.

  4. 4

    Write the message with {{name}}

Paste your broadcast text and add {{name}} so it reads personally. Check the live preview for one contact.

  5. 5

    Send and check the report

Keep the default 7 to 10 second pause and start. The report shows who was sent the message, who failed and why, and you can download it as Excel.

Quick comparison: broadcast list vs bulk sender

  • Recipients per send: broadcast list 256; Rapid Sender up to 5,000

  • Reaches people who did not save your number: broadcast list no; Rapid Sender yes

  • Personal name and details per person: broadcast list no; Rapid Sender yes, from your sheet

  • Delivery report you can download: broadcast list no; Rapid Sender yes, as Excel

  • Speed: broadcast list sends at once; Rapid Sender sends one by one with a pause, about 16 minutes per 100 text messages

  • Cost: both free; reported broadcast caps may apply to some Business app accounts

Frequently asked questions

Why are my WhatsApp broadcast messages not delivered?

Almost always because those contacts have not saved your number in their phone. Broadcasts only reach people who saved you. Ask them to save your number, or send them a normal one-to-one message instead.

Can I add more than 256 contacts to a broadcast list?

No, 256 is the maximum per list. You can create several lists, but each one still reaches only people who saved your number. For larger lists, a bulk sender that sends separate chats is the usual alternative.

Is the WhatsApp broadcast limit of 35 real?

It has been reported in tests of WhatsApp Business broadcasts, by sources such as WABetaInfo, but it is not a published rule that applies to everyone. Details reportedly vary by region and may change. Check what your own app shows.

Does the monthly broadcast limit apply to normal WhatsApp?

The reports so far are about broadcasts in the WhatsApp Business app. The 256-contact limit and the saved-number rule apply to broadcast lists in both apps. Since this area is changing, watch for notices inside your app.

What is the best alternative to broadcast lists?

For people who know you but have not saved your number, a bulk sender such as Rapid Sender sends each of them a personal chat from your own number, free. For very large, automated messaging, the paid official WhatsApp Business API is the alternative.

Is Rapid Sender a WhatsApp feature?

No. Rapid Sender is an independent tool that works with your WhatsApp through Linked devices. It is not made by or affiliated with WhatsApp or Meta, and it is not the official Business API.
