How to Send a PDF on WhatsApp

To send a PDF on WhatsApp, open the chat, tap the attach icon (the paperclip on Android, the plus on iPhone), choose Document, pick the PDF and tap send. On WhatsApp Web you can also drag the file into the chat. Below are the exact steps for each device, what to do when a PDF will not send, and how to send a PDF with each person's name to a whole list.

Send a PDF from an Android phone

    Open the chat

    Open WhatsApp and the chat of the person or group you want to send the PDF to.

    Tap the paperclip (attach) icon in the message box and choose Document.

    WhatsApp lists recent documents. If yours is not there, tap Browse other docs and find it in Downloads, Google Drive or another folder.

    WhatsApp shows the file name and a preview of the first page. Add a caption if you like, then tap the send arrow.

Send a PDF from an iPhone

Open the chat, tap the plus (+) button next to the message box and choose Document. The Files app opens: browse On My iPhone, iCloud Drive or Downloads, tap the PDF, then tap Send.

You can also start from the file. Open the PDF in Files, Mail or Safari, tap the Share button, pick WhatsApp from the list, choose the chat and send. This is the quickest way to forward a PDF someone emailed you.

Send a PDF from WhatsApp Web or a laptop

On WhatsApp Web or the desktop app, open the chat, click the plus or paperclip icon, choose Document, select the PDF from your computer and click send. Even faster: drag the PDF from a folder and drop it into the open chat.

WhatsApp Web needs your phone to be linked once: on the phone go to WhatsApp, Linked devices, Link a device and scan the QR code shown on the computer. After that you can send files from the laptop directly.

Turn photos or a Word file into a PDF before sending

Often the document you want to send is not a PDF yet. On Android, Google Drive's scan option (the camera icon or Scan button) photographs pages and saves them as a PDF. On iPhone, the Notes app can scan documents (tap the camera icon, then Scan Documents), and the Files app can also scan into a PDF. Both crop and straighten the pages for you.

For a Word document or Excel sheet, use Save as or Export and choose PDF, on a phone or a computer. A PDF looks the same on every phone, while a .docx can lose its formatting when opened in a different app, so PDF is the safer choice for anything official such as an invoice, circular or certificate.

Make your PDF look good in the chat

  • Rename the file before sending. WhatsApp shows the file name, so "Diwali-offer-price-list.pdf" reads far better than "scan_00213.pdf".

  • Put the most important content on page one. WhatsApp shows a preview of the first page, which is what people see before they tap.

  • Write a short caption that says what the PDF is and what you want the reader to do, such as "Fee structure for 2026-27, please check page 2 for the due dates".

  • Keep scanned PDFs small. A few pages at a readable resolution open quickly on mobile data; a 40 MB scan may never get opened.

  • Avoid password protection unless you really need it, and send the password in a separate message if you do.

PDF size limit and why a PDF will not send

WhatsApp allows large documents; it currently states a limit of up to 2 GB per file. In practice, large files take a long time on mobile data and some recipients cannot open them easily, so compress scanned PDFs where you can.

  • The file is too large or your connection dropped: try Wi-Fi, or compress the PDF.

  • WhatsApp does not have permission to read your files: on Android, check app permissions for Files and media. On iPhone, make sure the PDF has finished downloading in the Files app (a cloud icon means it has not).

  • The PDF is password-protected: it will send, but the recipient needs the password to open it.

  • The PDF is damaged: if it will not open on your own phone, it will not open for anyone else. Export it again.

  • You sent it as a photo: if you pick Gallery instead of Document, WhatsApp may not attach it correctly. Always use Document for PDFs.

Send one PDF to many people

To send the same PDF to many people with WhatsApp's own features, you have three options. Forward it: long-press the PDF in a chat, tap Forward and choose up to five chats at a time. Use a broadcast list: attach the PDF in the list, and it goes privately to up to 256 people, but only those who have saved your number receive it. Or post it in a group, where everyone sees it, and everyone sees each other.

Why can't I send a PDF on WhatsApp?
