WhatsApp marketing for small business in India: a practical guide
WhatsApp marketing works for small businesses when you message people who already know you, with something useful, not too often. This guide covers the whole routine: collecting numbers with permission, setting up your WhatsApp Business profile and catalogue, using Status, Channels and broadcast lists, sending personal offers from Excel, planning festival campaigns, measuring what works, and when to move to the official Business API.
Updated · Free · No install · Works with your own WhatsAppWhy WhatsApp marketing works so well in India
Your customers already open WhatsApp dozens of times a day. An SMS gets lost among bank OTPs, an email may never be opened, and an Instagram post reaches only a slice of your followers. A WhatsApp message from a shop they know lands in the same place as messages from family, which is exactly why it gets read, and exactly why it must be respectful.
The businesses that do well on WhatsApp treat it like a conversation, not a billboard. The kirana store that sends a short list of fresh stock, the boutique that shares three new designs with a photo, the clinic that reminds patients about a follow-up: these get replies and repeat sales. The ones that blast five promotions a week to strangers get blocked and reported.
The rest of this guide follows one simple rule: earn the number, then be worth reading.
Step 1: Set up your WhatsApp Business profile and catalogue
If you sell anything, use the free WhatsApp Business app rather than personal WhatsApp. It is a separate app from Meta made for small businesses, and you can move your existing number to it. A complete profile makes your messages look trustworthy, because customers tap your name to check who is writing.
- 1
Install WhatsApp Business and register your shop number
Use a number you will keep for years, ideally the one already printed on your bills and board. Changing numbers later means losing every customer who saved the old one.
- 2
Fill in the business profile
Add your business name exactly as on your board, a clear logo as the profile photo, category, a two-line description, address, business hours, email and website or Instagram link. Open Business tools (in Settings, or the Tools tab in newer versions), then Business profile.
- 3
Create your catalogue
Under Business tools, open Catalogue and add your best-selling products or services with a photo, price and short description. Customers can browse it inside WhatsApp and send you an enquiry about a specific item.
- 4
Set greeting and away messages
The Business app can automatically greet a new customer and reply outside business hours. Keep them short: thank them, say when you will reply, and point to the catalogue.
- 5
Save quick replies and labels
Quick replies let you type a shortcut for answers you give daily, like your UPI ID, location or price list. Labels such as New customer, Paid or Order pending help you sort chats and later build lists.
Try it with your own list
Upload an Excel or CSV file, write your message and see exactly how it looks before anything is sent.
Step 2: Build an opt-in list (the part most businesses skip)
Your list is your real asset. A list of 300 customers who chose to hear from you will sell more than 10,000 bought numbers, and it will not get your number banned. Opt-in simply means the person gave you their number and agreed to receive updates. Here are ways that work for Indian shops and services:
QR code at the counter: print a QR code that opens a chat with your shop with a message like "Hi, please add me to offers" already typed. Make one free with the WhatsApp QR code generator at /tools/whatsapp-qr-code-generator and stick it near the billing counter, on the trial room mirror or on the table tent.
Click-to-chat links: a wa.me link opens a chat with you in one tap. Put it in your Instagram bio, Google Business Profile, website, email signature and Facebook page. Create one with the free WhatsApp link generator at /tools/whatsapp-link-generator.
On the bill and visiting card: a line like "Save 98xxxxxxxx on WhatsApp for new stock and offers" costs nothing and works for years.
At the time of sale: ask "Shall I send you the bill and our offers on WhatsApp?" Most customers say yes, and you have clear permission.
Delivery, packaging and stickers: a small sticker with your QR code on every parcel brings repeat orders.
Enquiry forms: on your website or Google Form, add a tick box saying "Send me updates on WhatsApp" and keep that column in your sheet.
Write down where each number came from and when. A simple Excel column called source (counter, Instagram, website) helps you later see which channel brings the best customers.
Step 3: Use WhatsApp Status for daily, no-pressure promotion
Status updates disappear after 24 hours and are seen by contacts who have saved your number. Because people choose to tap on them, Status is the least intrusive way to show new stock, today's special, a happy customer photo or a behind-the-scenes clip.
Post one to three Status updates a day rather than twenty; a long row of dots gets skipped
Use clear photos and short text on the image: product, price, how to order
Add a reason to reply, such as "Reply with the number of the design you like"
Status is only seen by people who saved your number, which is one more reason to ask customers to save it
Check who viewed your Status: regular viewers are your warmest customers
Step 4: Start a WhatsApp Channel for followers
A WhatsApp Channel is a one-way broadcast that anyone can follow from the Updates tab. Followers do not see each other's numbers and you do not see theirs, and there is no limit on how many can follow. It suits updates that interest everyone: new arrivals, weekly offers, opening hours during festivals, tips related to your trade.
Channels are good for reach but weak for sales conversations, because followers cannot reply to you inside the channel. Use the channel to inform and give a link or number to message you for orders. Our guide on how to create a WhatsApp Channel covers setup step by step.
Step 5: Broadcast lists and their limits
A broadcast list sends one message to many contacts at once, and each person gets it as a private chat. Each list holds up to 256 contacts, and only people who have saved your number in their phone receive it. Everyone else silently gets nothing. WhatsApp has also been changing how broadcasts work in the Business app, including limits and paid options in some markets, so watch for notices in your app.
Broadcast lists are fine for a small circle of loyal customers who saved you. For a bigger list, people who never saved your number, or messages that need each customer's name, a broadcast list is the wrong tool. See the WhatsApp broadcast limit guide for details.
Step 6: Personalised bulk messages from your Excel sheet
Most small businesses already have their customers in an Excel sheet or billing software export: name, phone, last purchase, city, amount due. A message that says "Hi Meena ji, your favourite Kanjivaram sarees are back in stock" gets far more replies than "Dear customer, new stock arrived".
A bulk sender for WhatsApp such as Rapid Sender reads each row of your sheet and sends a separate one-to-one chat from your own number, with {{name}} and any other column filled in. It reaches people who have not saved your number, and their replies come to your normal chats. It is free and runs in the browser.
Personalisation goes beyond the name. Split your sheet by what people bought or where they live and write a different message for each group: saree buyers get the saree collection, kurta buyers get the kurta sale. Relevant messages are what keep people from blocking you.
Message templates for common campaigns

Festival campaign calendar 2026–27
In India, festivals drive the biggest sales of the year. Plan your WhatsApp campaigns around them: a teaser a week before, the offer three or four days before, and a warm wish without any selling on the day itself. Dates below are for 2026–27; regional calendars can differ by a day.
Dussehra, 20 October 2026: start the festive season offers and announce your Diwali collection
Karwa Chauth, 29 October: jewellery, sarees, mehendi and beauty services
Dhanteras, Friday 6 November: gold, silver, utensils, electronics and vehicles; send offers 3 to 5 days before
Diwali (Lakshmi Puja), Sunday 8 November: wishes to every customer, gift hampers, sweets and corporate gifting
Govardhan Puja 9 November and Bhai Dooj 10 or 11 November (varies by calendar): gifts for brothers and sisters
Chhath Puja around 15 November and Guru Nanak Jayanti on 24 November: respectful wishes to customers who celebrate
Christmas, 25 December and New Year 2027: year-end sales, thank-you notes to regular customers, new-year greetings to clients
Lohri 13 January 2027, Makar Sankranti, Uttarayan and Pongal 14 January: kites, sweets, regional offers
Republic Day, 26 January 2027: many retailers run Republic Day sales
Through the year: wedding season, Holi, Eid, Raksha Bandhan, Navratri and the start of the school year. Add the ones your customers care about.
How to send a campaign to everyone with their name
Rapid Sender is a free browser tool that sends from your own WhatsApp, one chat per customer, with each person's details filled in from your sheet. It has no scheduling, so open it on the day you want to send.
- 6
Prepare your customer sheet
Make an Excel or CSV file with columns such as name, phone, city and last_item. Clean it first with the free contact list cleaner at /tools/contact-list-cleaner to remove duplicates and broken numbers. Up to 5,000 rows per upload.
- 7
Link your business WhatsApp
Open Rapid Sender, then on your phone go to WhatsApp Business, Linked devices, Link a device and scan the QR code, or use the pairing code. No install or sign-up.
- 8
Write the offer with {{name}}
Upload the sheet, paste your message and insert {{name}} and any other column. Check the live preview and fix any typo warnings.
- 9
Attach the poster or catalogue
Add one photo, video or PDF catalogue. For festival wishes you can even print each customer's name on a greeting card image.
- 10
Test, then send with the safety pause
Send a test to yourself first. Keep the default random pause of 7 to 10 seconds between messages, so 100 messages take about 16 minutes.
- 11
Check the report
The live report shows sent and failed numbers and why. Download it as Excel, resend to the ones left, and remove numbers that are not on WhatsApp.
Measuring results without fancy software
You do not need a dashboard to know whether a campaign worked. Track a few numbers in the same Excel sheet you send from, and compare campaigns over a few months.
Replies: count how many people replied within two days. A good campaign to warm customers often gets replies from a meaningful share of the list; if almost nobody replies, the message or the list needs work.
Sales: use a code in each campaign, like "Show DIWALI20 at the counter", or ask "Did you see our WhatsApp offer?" at billing, and note it.
Blocks and opt-outs: if several people reply STOP or block you after a campaign, you sent too often or to the wrong people.
Delivery: Rapid Sender's report shows which numbers are not on WhatsApp, so you can clean your list for next time.
Read ticks: blue ticks are a rough signal only, since many people turn read receipts off.
Best time: try sending the same kind of message at 11 am one week and 7 pm the next, and keep whatever gets more replies.
Rules to avoid getting reported or banned
WhatsApp can restrict or ban numbers that many people block or report, and no tool can promise otherwise. The way to stay safe is to behave like a business people are glad to hear from.
Message only people who gave you their number and know your business. Never buy, scrape or rent number lists.
Introduce yourself in the first line, especially if they may not have saved your number: "Hi Rahul, this is Kavya from Kavya Boutique, Andheri".
Make it easy to stop: add "Reply STOP to stop offers" and actually remove those people from your sheet.
Keep promotions occasional: once or twice a month for most shops, more only around festivals and only if people engage.
Personalise every message and keep it relevant to what the person bought or asked about.
Send in business hours, roughly 10 am to 8 pm, and never late at night.
On a new number, start with small batches of 50 to 100 a day and grow slowly over a few weeks.
Keep the random pause between messages on. Sending hundreds in seconds looks like spam.
Respect privacy: India's data protection law expects you to collect personal data with consent and use it only for the purpose you gave. Do not share your customer list with anyone.

When to move to the WhatsApp Business API
The free app plus a tool like Rapid Sender is enough for most shops, clinics, coaching classes and service businesses with a few hundred to a few thousand customers. You may outgrow it when you need to message tens of thousands of customers regularly, send automatic order and delivery updates from your website, run a chatbot, have a team of agents sharing one number, or show a verified badge.
That is what the official WhatsApp Business Platform (the Cloud API) is for. It is paid per delivered template message, every business-initiated message must use a template that Meta approves, and you usually connect through a Meta business partner. Our comparison of the WhatsApp Business App vs API explains costs and who should use which.
Frequently asked questions
Is WhatsApp marketing free?
Using the WhatsApp Business app, Status, Channels and broadcast lists is free, and so is Rapid Sender. The official WhatsApp Business API charges per delivered template message, plus any fees your provider adds.
How do I get customers to join my WhatsApp list?
Put a QR code at your counter and a click-to-chat link on your Instagram, Google profile and bills, and ask at the time of sale. Note where each number came from so you know who agreed to hear from you.
How many marketing messages can I send per day on WhatsApp?
There is no fixed safe number for the app; it depends on your number's age and how people react. Start with 50 to 100 a day on a new number, keep a pause between messages, and send only to people who know you.
What is the difference between a broadcast list and a WhatsApp Channel?
A broadcast list sends a private chat to up to 256 contacts who saved your number, and they can reply. A Channel is a public one-way feed anyone can follow, with no follower limit, but followers cannot chat with you inside it.
Can my WhatsApp number get banned for marketing?
Yes, if many people block or report you. Message only opted-in customers, personalise, offer a way to stop and keep promotions occasional. No tool can guarantee a number will not be banned.
Do I need the WhatsApp Business API for marketing?
Not for a small business with a few thousand customers. The API makes sense for very high volume, automated notifications, chatbots, team inboxes or a verified badge.
What should a WhatsApp marketing message include?
The customer's name, who you are, one clear offer or update, one photo or PDF if useful, a simple next step like "reply YES", and a way to opt out.
Ready to send your message?
Upload your list, write your message and connect your WhatsApp. It is free and takes a few minutes.
