Bulk WhatsApp messages for shops and small businesses
Rapid Sender is a free bulk WhatsApp sender for business owners who want to reach their own customers without paying for the official API. Upload your customer list, write one offer or reminder with each customer's name in it, attach a catalogue PDF or photo, and it goes out from your shop's own WhatsApp number, one chat at a time. No install, no signup, no monthly plan.
Updated · Free · No install · Works with your own WhatsAppBuilt for businesses that already talk to customers on WhatsApp
In India most small businesses already run on WhatsApp. The saree shop sends new designs, the clinic confirms appointments, the CA reminds clients about GST dates, and the builder shares floor plans. The problem starts when the list grows past what you can forward by hand, and the official API looks expensive and complicated for a business with 400 customers.
Rapid Sender fills that gap. It works with the WhatsApp or WhatsApp Business app number you already use, so customers see the same number they have been chatting with. Every customer gets a separate, personal message, and their replies land in your normal chats where you already answer them.
Ways small businesses use it
Shops and boutiques: festive offers, new stock arrivals, end-of-season sale dates, with the customer's name in the greeting and a photo of the collection
Clinics, dentists and labs: appointment reminders with the date and time from your sheet, follow-up visit reminders and report-ready messages
Real estate agents and builders: a project brochure PDF with the first page shown as a preview, site-visit invites and price list updates for interested buyers
Coaching, gyms and dance classes: batch timings, renewal reminders with the amount due, and holiday notices
Restaurants and caterers: a menu PDF before a festival, or a thank-you note with a discount for regulars
Service providers like CAs, insurance agents and repair shops: due-date reminders with each client's own amount and policy or invoice number
Events and community groups: invitations, passes or schedules sent to registered members, with each member's name printed on the pass

How to send an offer or reminder to your customers
- 1
Export your customer list
Save your customers as an Excel or CSV file with column names in the first row, for example name, phone, amount, date. Most billing and POS software can export this, or start from the sample sheet in Rapid Sender.
- 2
Link your business WhatsApp
Open Rapid Sender on your computer and scan the QR code from the WhatsApp Business app (Linked devices, then Link a device). On a phone, use the pairing-code option instead.
- 3
Upload contacts
Upload the file in the Contacts step. Numbers without a country code get the one you choose, India +91 by default, and numbers are checked before sending.
- 4
Write a personal message
Insert {{name}} and any other column, such as {{amount}} or {{date}}, with the buttons above the box. Use bold for the offer price and look at the live preview for one customer.
- 5
Add your catalogue or photo
Attach one file, such as a catalogue PDF, an offer poster, a short product video or a voice note, up to 100 MB. With a PDF, your message goes as its caption.
- 6
Send, then follow up on the report
Start sending and watch the live report. Download it as Excel to see who was sent the message and which numbers are not on WhatsApp, so you can clean your list.

Tips for business messages people actually read
Lead with the customer's name and one clear reason for writing, such as the offer, the date or the amount, in the first line
Keep it short: three or four lines plus a photo or PDF does better than a long paragraph
Put the key detail in bold, like the discount or the appointment time, using the toolbar
Give one simple next step, such as "reply YES" or "call us on this number", instead of only a link
Send at a sensible hour, for example late morning or early evening, not late at night
After the send, remove numbers marked not on WhatsApp so your next list is cleaner
Consent and the rules to follow
Send only to customers who gave you their number and would expect to hear from you, such as buyers, patients, members and enquiries. Buying number lists or messaging strangers is the quickest way to get reported, and WhatsApp may limit or ban a number that many people report. It also breaks WhatsApp's terms and, for promotional messages, can break local rules on unsolicited marketing.
Make it easy to stop: add a line such as "Reply STOP if you don't want offers" and remove those people from your sheet. Keep promotions occasional, put the customer's name in every message, and send in batches rather than to your whole list at once.
Community, religious and political groups: keep messages to your own members, and follow election-commission and local rules on campaign messages. Rapid Sender is not meant for mass campaigning to people who did not sign up.
When the official WhatsApp Business API makes more sense
Rapid Sender suits small and medium lists of people who know you, a few hundred or a few thousand at a time, without any cost. If you need to message tens of thousands of customers every day, need automated replies or a chatbot, want a green-tick verified profile, or need a shared inbox for a large support team, look at the official WhatsApp Business Platform from Meta through an approved provider.
The API charges for messages and needs approved message templates, but it is designed for that volume. Many businesses start with a free tool like Rapid Sender and move to the API once WhatsApp becomes a major sales channel.
Frequently asked questions
Is it OK to use for marketing offers?
Yes, for customers who know your business and agreed to hear from you. Personalise each message, keep promotions occasional and let people opt out. Sending offers to bought lists or strangers is against WhatsApp's terms and puts your number at risk.
Will customers see my business name?
The message comes from your own WhatsApp number, so customers see it exactly as they see your normal chats. If they saved your number, they see the name they saved; otherwise they see your number and your WhatsApp profile name. Using a WhatsApp Business app number with a clear business profile helps.
Can I send a catalogue PDF?
Yes. Attach a PDF up to 100 MB and your message goes as its caption, with a preview of the first page shown in the chat. You can also send a photo, video, Word, Excel or PowerPoint file instead.
How many messages a day is safe?
No number is guaranteed safe, because it depends on your number's age and how people react to your messages. On an established number with customers who know you, batches of 100 to 200 with the default pause are a sensible start. On a new number, begin with 50 to 100 a day and increase slowly over 2 to 3 weeks.
Should I use Rapid Sender or the official WhatsApp Business API?
For occasional offers and reminders to a few hundred or thousand customers, Rapid Sender is free and quick to start. For very high daily volume, chatbots, team inboxes or automation, the paid official API is the right tool. Rapid Sender is not the official API.
Is Rapid Sender connected to WhatsApp or Meta?
No. Rapid Sender is an independent bulk sender for WhatsApp that links to your own number through Linked devices. It is not affiliated with, endorsed or sponsored by WhatsApp or Meta Platforms, Inc.
