A parents' group is fine for a quick "school is closed tomorrow" note, but it fails for anything personal. You cannot post one family's pending fees in a group of 60 parents, the important notice gets buried under 200 "thank you, ma'am" replies, and every parent can see every other parent's number.
WhatsApp's broadcast lists avoid the noise, but they only reach parents who have saved the school's number, and each list holds 256 people. In most schools and coaching classes plenty of parents never saved the number, so the message silently never arrives.
Rapid Sender sends a separate, private chat to each parent from your number. Each one can be different, because the details come from your sheet: Aarav's mother sees Aarav's fee balance, Diya's father sees Diya's marks. Parents do not see each other's numbers, and replies come back to your own WhatsApp like any normal chat.

Set up your parents sheet
Most schools already have this data in an Excel file or can export it from their school software. Keep the first row for column names, then one row per student. A simple sheet could have these columns: name, student, class, phone, amount, due_date. The name column can be the parent's name and the student column the child's, so a message can greet the parent and mention the child.
Phone numbers can be written with or without +91. Choose India (+91) once for numbers that have no country code, or add a country_code column if some parents live abroad. You do not have to save any of these numbers in the school phone. Download the sample sheet inside Rapid Sender if you want a ready format to copy into.
If you have up to 5,000 rows you can send in one go, but for a large school it is kinder to your number to send class by class.
How to send a message to all parents

Link the school's WhatsApp
Open Rapid Sender on the office computer and scan the QR code from the school phone: WhatsApp, then Linked devices, then Link a device. Use the Business app number if that is what parents already know.

Upload the class list
In the Contacts step, upload your Excel or CSV file. Rapid Sender reads the column names from the first row and shows how many contacts it found, so you can fix any numbers it could not read.

Write the message with student details
Use the buttons above the message box to insert {{name}}, {{student}}, {{amount}} or {{due_date}}. The live preview shows the message exactly as one parent will see it, and a warning appears if you typed a code that matches no column.

Attach the circular or result PDF
Add the PDF in the Photo or file step. If each student should see their own name on it, drag a text box onto the page and link it to the student column. Pick a Gujarati or Hindi font if the circular is in that language.

Add a backup number if you have one
If your sheet has a second number for some families, set it as the alternate number so the message goes there when the first number is not on WhatsApp.

Send and keep the report
Start the send, keep the page open and watch the live report. Download it as Excel at the end so the office has a record of which parents were sent the notice and which numbers failed.

Results and certificates with each student’s name
Rapid Sender can print text from any column onto a PDF or photo before sending, so every family gets their own copy. Place the student's name on the certificate line, the class below it and the rank in the corner, choose the font, size and colour, and preview it for any student before you send.
One honest limit: it prints details onto one shared design. It does not merge 300 different report-card files into one send. If each student's marks are on a separate page of a PDF, you can still set pages to be skipped for a student when a value is empty, which suits things like sending a "merit" page only to the students who have a rank in the sheet.
Parent privacy and good practice
Only message parents who gave the school their number for school communication, and keep the messages to school matters
Each parent gets a private chat, so no number is shown to other parents
The uploaded file is deleted from the server after the send and the data is not sold
Send from a number parents recognise, ideally the one printed in the school diary, so they do not report it as unknown
Use the student's name in every message; personal messages are read and trusted far more than a generic forward
For a big school, send class by class with the default pause rather than 2,000 parents in one go
Frequently asked questions
Can I send the same message to all parents without saving their numbers?
Yes. Upload the numbers from your Excel sheet and Rapid Sender sends each parent a separate chat from your WhatsApp. Nothing needs to be saved in the school phone. Parents are more likely to read and less likely to report it if they recognise the school's number.
Some parents have two numbers. What should I do?
Put the main number in the phone column and use the alternate number option for the second one. If the first number is not on WhatsApp, the message is sent to the backup number instead, and the report shows it as sent to alternate.
Can each student get a different PDF?
Each student can get their own copy of one PDF with their details printed on it, such as name, class, roll number or marks from your sheet. You can also skip a page for students whose value for that text is empty. Sending a completely separate file per student is not supported.
Can I send messages in Gujarati or Hindi?
Yes. Type the message in any language, and the student's name from the sheet is filled in as it is written. For text printed on a PDF or photo, choose a Gujarati, Hindi, Marathi or other Indian-language font.
How long does it take to message 500 parents?
With the default pause of 7 to 10 seconds, a text message takes about 10 seconds per parent, so 500 parents take around an hour and a half. With a PDF it takes a bit longer. Keep the office computer on and the page open until it finishes.
Is this the official WhatsApp app for schools?
No. Rapid Sender is an independent tool that works with your school's own WhatsApp number through Linked devices. It is not made or approved by WhatsApp or Meta and it is not the official WhatsApp Business API.
