From a participant sheet to certificates in their phones

After a workshop, a sports day, a webinar or a training batch, the slowest job is the certificates. Someone has to type 200 names into a template, export 200 files, then find each person's chat and send the right file. One wrong name, or Priya's certificate sent to Pooja, and the whole thing looks careless.

Rapid Sender removes both steps. You keep one template and one sheet. The tool prints each row's details on its own copy of the certificate and sends that copy to the phone number in the same row. People usually check WhatsApp before email, so certificates sent this way get seen and shared the same day, often with a proud status update.

Prepare your certificate template

  • Design the certificate in Canva, PowerPoint, Word or any design app, and leave the name line and other variable spots blank.

  • Export it as a PDF for crisp print-quality text, or as a PNG or JPG if it will only be viewed on phones. A landscape A4 at a good resolution works well for both.

  • Prepare your sheet in Excel or CSV with one row per participant: phone, name and any other details, such as course, date, grade, rank or certificate_no.

  • Spell names exactly as they should appear on the certificate. Use the participant's preferred spelling and capitals, since the text is printed as it is in the sheet.

How to send certificates on WhatsApp in bulk

    Upload the participant sheet

    Open Rapid Sender and upload your Excel or CSV file. The first row should have column names like name, phone, course and date. Up to 5,000 participants in one send.

    Attach the blank certificate

    Add your certificate template as a PDF, JPG or PNG. You will see it on screen, ready for the text boxes.

    Place the name and other details

    Drag a text box to the name line and choose the name column. Add more boxes for course, date, rank or certificate number. Set the font, size, colour, bold or italic and alignment for each; centred text suits most certificate name lines.

    Check a few certificates in the preview

    Click through several participants in the preview, especially the longest names, to make sure nothing runs off the line. Make the box wider or the font smaller if needed.

    Write the congratulation message

    Add a short note with their name, such as 'Congratulations {{name}}! Here is your certificate for completing {{course}}.' With a PDF, this message travels as the caption.

    Link WhatsApp, send and check the report

    Link your WhatsApp with the QR code or a pairing code, press send, and watch the report. Download it as Excel at the end for your records.

More than a name: course, date, rank and Indian languages

Each text box can use any column of your sheet, so a single template can carry a lot of personal detail. A coaching class can print the student name, the batch and the rank. A hackathon can print the team name and the position. A CSR training programme can print the participant, the village and the date of completion. Each box has its own style, so the name can be large and bold while the date sits small at the bottom.

Names in Indian scripts are supported with proper fonts: Hindi and Marathi (Devanagari), Gujarati, Bengali, Tamil, Telugu, Kannada, Malayalam, Punjabi and Odia, along with English fonts and Arabic or Urdu. Type the names in your sheet in the script you want; the font displays them, it does not translate them.

If some participants have an extra page, such as a merit certificate for the top ten, you can add it as a second PDF page and tick 'Skippable' on a text box there. Participants with an empty value in that column get only the first page.

Failed numbers, corrections and re-sending

Participant sheets are filled in by hand at registration desks, so some numbers will be wrong. Rapid Sender checks every number before sending. The report shows each person as sent, failed (with a reason, like not on WhatsApp), waiting or not sent, so you know exactly whose certificate did not arrive.

Fix the wrong numbers in the list and send again only to the people left; those who already received theirs are not sent a duplicate. If a participant writes back that their name is misspelt, correct the row and send their certificate in a quick separate send of one. You can also set an alternate number, such as the organiser's own, to receive the certificates of people whose number is not on WhatsApp, so you can forward them by email later.

Your work is saved in the browser, so a refresh or an accidentally closed tab does not lose the template, the text boxes or the report. Files are deleted from the server after the send.

Compared with certificate makers that send by email

Most online certificate tools are built around email. They generate the files and then email a link, and WhatsApp, if it is offered at all, needs a paid plan or a separate business messaging setup with approved templates. Automation recipes that join Google Slides with a messaging API can work, but they take an afternoon to set up and a monthly bill to keep running.

Frequently asked questions

Can I add more than the name, like course, date or rank?

Yes. Add one text box per detail and link each to a column in your sheet. Each box can have its own font, size, colour and position.

Should the certificate be an image or a PDF?

Both work. A PDF keeps text sharp for printing and arrives with a first-page preview and your caption. A JPG or PNG shows as a photo right in the chat, which is nice for sharing on status.

Can I send certificates to 1,000 participants?

Yes, up to 5,000 in one send. Personalised certificates go out at roughly 100 every 25 to 35 minutes with the default pause, so 1,000 take about 4 to 6 hours. Splitting a big list over two days is gentler on your number.

Can I re-send only to those who failed?

Yes. After fixing the numbers, send again and only the people left are sent their certificate. Those who already got it are skipped.

Does it support names in Hindi, Gujarati or other Indian languages?

Yes. Choose a Devanagari, Gujarati, Bengali, Tamil, Telugu, Kannada, Malayalam, Punjabi or Odia font for the name box, and write the names in that script in your sheet.
