Why sharing a PDF with a long list is harder than it looks

Forwarding a PDF works for five people. WhatsApp only lets you forward to a handful of chats at a time, so a price list for 300 customers or a circular for 800 parents turns into an evening of forward, select, forward. A broadcast list is limited to 256 people and only reaches those who saved your number. A group shares everyone's number with everyone else, which most customers and parents do not want.

What people see: a first-page preview with your caption

A PDF with no context often gets ignored. When Rapid Sender sends a PDF with a message, the message goes as the caption of the document, and WhatsApp shows a preview of the first page, along with the file name, the number of pages and the size. The person sees your cover page and your words together, in one bubble, before they even tap to open it.

That makes the first page of your PDF the most important page. Put the key thing there: the offer, the date, the school logo and the heading of the circular, or the property photo. Give the file a clear name too, like Diwali-Offers-2026.pdf rather than scan0034.pdf, because the name shows in the chat.

How to send a PDF to multiple contacts on WhatsApp

   Add your contacts

   Upload an Excel or CSV list with a phone column and a name column, or add contacts by hand. Numbers do not need to be saved in your phone.

   Attach the PDF

   Choose your PDF (up to 100 MB). Brochures, menus, rate cards, invoices, circulars, notes and e-books all work.

   Write the caption

   Write a short message and add {{name}} with the + Name button, for example 'Namaste {{name}}, here is our new price list for the festive season.' Use bold for the important line.

   Optional: print each person's name on the PDF

   Drag a text box onto any page to print the contact's name, or any column such as their customer ID, on their own copy. Choose the font, size and colour.

   Link your WhatsApp and send

   Scan the QR code from WhatsApp, Linked devices (or use a pairing code), check the preview and press send. The live report shows each PDF as it is delivered.

Make each copy personal: names and page skipping

Most PDF tools stop at 'send the same file to everyone'. Rapid Sender can also print text on the PDF itself, different for each person. A real estate brochure can carry 'Prepared for Mr. Ravi Shah' on the cover. A coaching class timetable can show the student's batch. A price list can carry the dealer's name so it is not passed around as a generic file.

You can also skip a page for some people. Tick 'Skippable' on a text box, and contacts whose value for that text is empty do not get that page. For example, a wholesale rate page can go only to dealers who have a value in a dealer_code column, while retail customers get the rest of the catalogue. The preview shows how many pages each contact will receive.

Indian-language fonts are included, so a name or line printed on a Hindi, Gujarati, Marathi, Tamil or Bengali PDF matches the rest of the document.

PDFs people send to their whole list

• Shops and distributors: the new price list or festive catalogue, with a line about the offer in the caption.

• Restaurants and caterers: the updated menu or a party package, sent to regular customers before a long weekend.

• Schools and coaching classes: circulars, timetables, syllabus and holiday notices, with the student's name in the caption.

• Real estate: project brochures and floor plans for people who enquired, with their name printed on the cover.

• Accountants and agencies: monthly statements or GST reminders, where each client's name sits on the first page.

• Housing societies and associations: AGM notices, minutes and maintenance circulars for every member.

File size, timing and other documents

• Any PDF up to 100 MB can be attached, but smaller is better. A 1 to 5 MB PDF sends quickly and opens easily on mobile data. Compress scanned PDFs before sending.

• With the default pause, 100 PDFs take roughly 25 to 35 minutes, a little longer than plain text. The confirm screen shows an estimate for your list.

• Word, Excel, PowerPoint and text files can be sent the same way, but printing names on the page works only on PDFs and photos.

• Only one file can be attached per send. If you have two PDFs, merge them into one or run two sends.

• Your files are deleted from the server after the send.

Built for many numbers, not just one share

Most guides on this topic explain how to share a PDF from your phone's file manager or a PDF app. That is useful for one chat. They do not solve the real problem of a business, school or family with hundreds of people: sending to many numbers, with a proper preview, with each person greeted by name.
