WhatsApp Business API vs WhatsApp Business App (and where a free sender fits)
The WhatsApp Business App is free and made for a small business answering customers from a phone; the WhatsApp Business API (now called the WhatsApp Business Platform, usually the Cloud API) is paid per delivered template message and made for automation, high volume and teams. A free browser sender like Rapid Sender sits in between: it sends personalised one-to-one messages from your existing app number, without the API's cost or setup, but also without its automation. Here is an honest side-by-side so you can pick the right one.
Updated · Free · No install · Works with your own WhatsAppThe three options in one paragraph each
WhatsApp Business App: a free app from Meta for Android and iPhone. You get a business profile, catalogue, quick replies, greeting and away messages, labels, Status, Channels and broadcast lists. One number runs on your phone, and you can link a few more devices such as WhatsApp Web on a computer.
WhatsApp Business Platform (API): Meta's paid service for medium and large businesses. There is no app screen of its own; your messages go through software such as a CRM, shared inbox, chatbot builder or your own code, usually via a Meta business partner (a Business Solution Provider). Meta hosts it as the Cloud API.
Free browser sender (Rapid Sender): an independent tool for WhatsApp that links to your existing WhatsApp or WhatsApp Business number through Linked devices and sends a separate chat to each person on your Excel or CSV list, with their name and details filled in. It is not the API and is not made by WhatsApp or Meta.
Cost
Business App: free to download and use. Meta also offers an optional paid Meta Verified subscription for eligible businesses, which adds a verified badge and extra features.
Business API: since 1 July 2025 Meta charges per delivered template message, and the price depends on the template category (marketing, utility or authentication) and the recipient's country. Marketing messages cost the most, utility and authentication much less. Free-form replies inside the 24-hour customer service window are free, and utility templates sent inside that window are free too.
API in India specifically: Meta sets a separate rate card for India, and in 2026 it raised the India marketing rate (from 1 January) and began billing eligible Indian businesses in rupees. Rates change several times a year, so check Meta's current rate card on developers.facebook.com or your provider's pricing before budgeting, and add 18% GST and your provider's platform fee or markup.
Rapid Sender: free. There is no per-message charge because messages go out from your own WhatsApp like normal chats.
Try it with your own list
Upload an Excel or CSV file, write your message and see exactly how it looks before anything is sent.
Message templates and approval
Business App: no templates or approval. You type whatever you want, though spammy behaviour can get your number restricted.
Business API: any message you start (outside the 24-hour window after a customer writes to you) must use a pre-written template that Meta reviews and categorises. Templates can include variables like the customer's name, buttons and media. Rejected or mis-categorised templates are a common source of delay.
Rapid Sender: no approval step. You write one message with {{name}} or any column from your sheet and it is filled in for each person. The responsibility to send only wanted, sensible messages is yours.
Verified badge (the old green tick, now blue)
WhatsApp's verified badge used to be green and is now a blue tick, in line with Facebook and Instagram.
Business App: eligible businesses in India can subscribe to Meta Verified, a paid monthly plan that adds the verified badge after Meta checks your business.
Business API: businesses on the platform can apply for an Official Business Account. Meta decides based on how notable and authentic the brand is; it is not guaranteed, and no agency can promise it.
Rapid Sender: does not change your profile. Customers see your number and WhatsApp profile exactly as they do in normal chats.
Volume and reach
Business App broadcast lists: up to 256 contacts per list, and only people who saved your number receive it. WhatsApp has also been adding limits and paid options to broadcasts in the Business app in some markets.
Business API: new businesses start with a limit of 250 unique customers in a rolling 24 hours for messages they start, rising in steps up to unlimited as you verify your business and keep message quality high (Meta adjusts the exact tiers from time to time). Limits are shared across your business portfolio's numbers.
Rapid Sender: up to 5,000 contacts per upload, sent one by one with a random pause (7 to 10 seconds by default, about 16 minutes per 100 messages). It reaches people who have not saved your number. It is meant for people who know you, not for cold outreach.
Number of users and devices
Business App: one phone plus a small number of linked devices, so a couple of people can reply from WhatsApp Web. Meta Verified adds more options for staff in some plans.
Business API: built for teams. Through a shared inbox from your provider, many agents can answer from one number at the same time, with chat assignment and history.
Rapid Sender: uses one linked-device slot of your own number. Replies arrive in your normal WhatsApp chats, where you answer them as usual.
Automation, chatbots and integrations
Business App: greeting message, away message and quick replies. No chatbot, no connection to your website or billing software.
Business API: full automation, such as order confirmations from your online store, delivery updates, OTPs, chatbots, payment links, CRM sync and click-to-WhatsApp ads.
Rapid Sender: none of that. It has no scheduling, no auto-reply, no chatbot and no API. You open it, upload a list and send when you choose.
Setup effort
Business App: minutes. Install, verify your number, fill in the profile.
Business API: days to weeks. You need a Meta business portfolio, usually business verification, a provider account or developer work, a phone number for the API, and approved templates. Meta has been rolling out a way to connect an existing Business app number to the API (called coexistence), but availability varies by country and provider, so ask before you move your main number.
Rapid Sender: a few minutes in the browser. Scan a QR code from Linked devices, upload your sheet, write the message, send a test to yourself.
Who should use which
There is no single best choice. It depends on how many people you message, how often, and whether you need automation.
Choose the Business App alone if you mostly answer customers who message you, post on Status and Channels, and occasionally broadcast to a small group who saved your number. This is most kirana stores, salons, tutors and local services.
Add a free sender like Rapid Sender if you have a customer list in Excel and want to send festival wishes, offers, fee or payment reminders, invitations or certificates to a few hundred or a few thousand people with each name filled in, a few times a month, without paying per message.
Choose the Business API if you send to tens of thousands of customers regularly, need automatic notifications from your website or software, run a chatbot or click-to-WhatsApp ads, need many agents on one number, or want an Official Business Account. The cost is worth it when WhatsApp is a major sales or support channel.
Many businesses use more than one: the app for daily chats, a free sender for occasional personal campaigns, and the API later once volume grows.
Honest limits of each option
Business App: broadcasts only reach people who saved your number, and there is no personalisation or delivery report you can download.
Business API: per-message costs add up for marketing, every outbound message needs an approved template, and Meta may limit how many marketing messages a person receives from businesses, so not every template is delivered.
Rapid Sender: it is not an official Meta product. Messages go out from your own number, so sending to people who do not know you can get you reported and your number restricted. It lowers risk with pauses and personalisation, but it cannot promise a number will never be banned.
How to send a personal message to your whole list with Rapid Sender
If the free option fits your needs, here is how it works. It runs in your browser and nothing is installed.
- 1
Prepare your sheet
Put names and numbers in an Excel or CSV file, with columns such as name, phone, amount or date. Numbers do not need to be saved in your phone. Up to 5,000 rows per upload.
- 2
Link your WhatsApp
Open Rapid Sender, then on your phone go to WhatsApp or WhatsApp Business, Linked devices, Link a device, and scan the QR code, or use the pairing code.
- 3
Write your message
Upload the sheet and write your message with {{name}} and other columns. WhatsApp formatting and emojis work, and the live preview shows one person's version.
- 4
Attach a file if needed
Add one photo, video, PDF or other file. You can print each person's name on a photo or PDF card.
- 5
Test, send and check the report
Send a test to yourself, then send to all or chosen contacts. The live report shows sent and failed numbers, and you can download it as Excel.
Frequently asked questions
Is the WhatsApp Business API free?
No. Meta charges per delivered template message, priced by category (marketing, utility, authentication) and country. Replies inside the 24-hour customer service window are free. Providers usually add their own fee on top.
How much does the WhatsApp Business API cost in India?
Marketing templates are the most expensive category and utility and authentication templates cost much less, each priced per delivered message. Meta updates the India rate card several times a year, so check the current figures on Meta's pricing page or with your provider, and add 18% GST.
Can I use the same number on the WhatsApp Business App and the API?
Traditionally a number had to be removed from the app to move to the API. Meta now offers coexistence, which connects an existing Business app number to the Cloud API, but availability depends on your country and provider.
How do I get the green tick on WhatsApp?
The badge is now blue. Business App users in India can subscribe to Meta Verified, and businesses on the API can apply for an Official Business Account, which Meta grants only to notable, authentic brands.
Do I need the API to send bulk messages?
Not for a few hundred or a few thousand people who know you. A free sender like Rapid Sender sends personalised one-to-one chats from your own number. For very high volume or automation, the API is the right tool.
Is Rapid Sender the WhatsApp Business API?
No. Rapid Sender is an independent tool for WhatsApp that works through Linked devices on your own number. It is not affiliated with WhatsApp or Meta and has no API, chatbot or scheduling.
Which is better for a small business?
Usually the free Business App, plus a free sender for occasional personalised campaigns. Move to the API when you need automation, a team inbox or much higher volume.
