What to include in an appointment reminder

Every reminder needs the same few facts. Anything more makes it harder to read on a lock screen.

  • The person's name and your business name, so they know who is writing.

  • Date, time and the person they are seeing.

  • Address or a location pin, or the video link for online sessions.

  • One clear action: reply YES to confirm, or reply to reschedule.

  • Your cancellation notice period, stated politely.

  • Nothing private. Leave out the reason for the visit, diagnoses and test names – see the privacy tips below.

Appointment confirmation messages (reply YES)

Send this when the appointment is booked, or a few days before. Asking for a YES turns a reminder into a commitment and tells you early who isn't coming.

The placeholders are columns in your appointment sheet: {{name}}, {{date}}, {{time}}, {{provider}} (the doctor, dentist, consultant or tutor) and {{location}}.

Try it with your own list

Upload an Excel or CSV file, write your message and see exactly how it looks before anything is sent.

24-hour reminder messages

The day-before reminder is the one that prevents most no-shows. Send it in the afternoon so people can still rearrange their day.

  1. Standard

2-hour and same-day reminders

A short same-day reminder works well for busy people, early appointments, and online sessions where you need to share the link.

  2. Morning

  6. Running late (you)

Hi {{name}}, {{provider}} is running about 20 minutes behind today. You're welcome to arrive a little later than {{time}}. Sorry for the wait.

Reschedule and cancellation messages

Offer specific new times instead of asking "when are you free?" – it cuts the back-and-forth in half.

  1. Client asked

No problem, {{name}}. We have {{new_date}} at {{time}} or the following morning at 10 am. Which works better?

  2. Confirmed new time

Done, {{name}}! Your appointment is now on {{new_date}} at {{time}} with {{provider}}. See you then.

  6. Earlier slot

Hi {{name}}, an earlier slot opened on {{new_date}} at {{time}}. Would you like to move your appointment forward?

No-show follow-up messages

A no-show is often a forgotten diary, not rudeness. Follow up the same day, kindly, and make rebooking easy. If you charge a missed-appointment fee, state it calmly and only if it was in your booking terms.

  1. Kind

Hi {{name}}, we missed you at your {{time}} appointment today. We hope everything's okay. Reply here and we'll find you a new time.

  2. Short

Hi {{name}}, sorry we didn't see you today. Would you like to rebook?

  6. Check-in

Results ready and follow-up messages (no private details)

When lab results, reports or documents are ready, tell the person only that they are ready and how to get them. Do not put the test name, the result, a diagnosis or medication in a WhatsApp message: phones get shared, notifications show on lock screens, and health information is protected by privacy laws in most countries. Ask them to call, visit or log in to your secure portal instead.

  1. Results ready

Hi {{name}}, your results are ready. Please call the clinic or book a short appointment with {{provider}} to go through them.

  2. Report ready

Hello {{name}}, your report is ready for collection at the front desk, Monday to Saturday, 9 am to 6 pm. Please bring your ID.

How to send reminders to all of tomorrow's appointments at once

Sending 30 reminders one by one every afternoon takes time. Rapid Sender is a free tool for WhatsApp that runs in your browser and sends from your own WhatsApp, one chat per person, filling in each name, date, time and provider from your sheet. Numbers do not need to be saved in your phone, and any country code works.

It has no scheduling and no auto-reply, so YES replies arrive in your normal WhatsApp and you read them there. It does not connect to practice-management or booking software: export tomorrow's appointments to Excel or CSV and send.

  1. 1

    Export tomorrow's appointments

Make an Excel or CSV file with columns such as name, phone, date, time and provider. Leave out the reason for the visit. Up to 5,000 rows per upload.

  2. 2

    Link your WhatsApp

Open Rapid Sender, then on your phone go to WhatsApp, Linked devices, Link a device and scan the QR code, or use the pairing code. No install or sign-up.

  3. 3

    Upload and write the reminder

Upload the sheet; columns become placeholders such as {{time}} and {{provider}}. Paste a template from this page and check the live preview.

  4. 4

    Test, then send

Send a test to yourself, then send to the list. Rapid Sender pauses a random 7 to 10 seconds between messages, so 50 reminders take about 8 minutes.

  5. 5

    Track replies and the report

Replies come into your WhatsApp as usual. Download the delivery report as Excel and mark who confirmed.

Privacy and timing tips

  • Never include diagnoses, test names, results, medicines or the reason for the visit. "Your appointment with Dr. Shah" is enough.

  • Message only patients or clients who gave you their number and agreed to WhatsApp reminders. Record that consent.

  • Use a dedicated business number rather than a personal phone where possible.

  • Send 24-hour reminders in the afternoon and same-day ones at least 2 hours before.

  • For children, write to the parent or guardian, and for tutoring use {{student}} for the child's name.

  • Check your local rules (for example HIPAA in the US or GDPR in Europe) about what may be sent by messaging apps.

Frequently asked questions

How do you write an appointment reminder message?

Include the person's name, your business name, the date, time and provider, the location or video link, and one action such as "reply YES to confirm". Keep it short and leave out private details.

When should I send an appointment reminder?

A confirmation when the appointment is booked, a reminder about 24 hours before, and optionally a short one 2 hours before. That pattern reduces no-shows without feeling pushy.

Many clinics do, with the patient's consent. Mention only the date, time and provider – never the reason for the visit, test names or results – and follow your local privacy rules.

Be kind: say you missed them, hope they're okay, and offer to rebook. Mention a missed-appointment fee only if it was part of your booking terms.
